Who we are

Ikonic Systems ("Ikonic", "we", "us") provides a modular, multi-tenant ERP platform to businesses. This policy explains how we handle personal data across our website and product. For any privacy request, contact us at info@ikonicsys.com.

Data we collect

Account and contact data: name, work email, phone number, company, and role, provided when you request a demo, sign up, or contact us.

Usage data: pages visited, features used, device and browser information, and diagnostic logs, collected to operate and improve the service.

Customer content: the business records your organisation stores in Ikonic (orders, invoices, inventory, HR, finance). This is processed on your behalf as your data processor — your organisation is the controller.

How we use data

To provide, secure, and maintain the platform; to respond to sales and support requests; to send service and, where permitted, marketing communications; and to meet legal and regulatory obligations.

We do not sell personal data. We do not use your customer content to train third-party models without your explicit instruction.

Tenancy and isolation

Ikonic is multi-tenant by design. Every record is scoped to a tenant and legal entity, and access is enforced in the data layer so one customer cannot see another customer’s data.

Sub-processors

We use a limited set of infrastructure and communication providers (hosting, email/SMS delivery, payment gateways, and AI model providers) to run the service. Each is bound by confidentiality and data-protection terms.

Your rights

Subject to applicable law, you may request access, correction, deletion, or export of your personal data, and object to certain processing. Send requests to info@ikonicsys.com and we will respond within the timeframe required by law.

Retention and security

We retain personal data for as long as needed to provide the service and meet legal obligations, then delete or anonymise it. We apply encryption in transit, access controls, and audit logging to protect data.

Changes

We may update this policy as the product and regulations evolve. Material changes will be posted here with a revised date.
